Your main missions:


Welcome:



  • Welcome of visitors (registration in the ad hoc register, badge delivery, follow-up with the host employee, ...)

  • Welcome the collaborators, consultants, suppliers

  • Welcoming on site, by phone or by e-mail, in a professional, courteous and polite way


Administrative support:



  • Answering and follow-up phone calls

  • Sending, receiving and distribution of mail (registered, TNT, internal, colis)

  • Support for catering services, meeting room reservations, cabs

  • Follow-up of the invoices relating to the various services linked to the reception desk

  • Distribution and follow-up of badges in coordination with relevant departments (including HR and IT)

  • Fleet: management of the car maintenance schedule, winter/summer tire change and fuel card distribution.

  • Occasional missions (printing of documents, translations, ...)


Responsibilities:



  • Optimal management of the reception and quality of the welcome

  • Ensuring the follow-up of administrative support in a qualitative way

  • Being flexible to manage the various requests in order to satisfy internal customers  


The ideal candidate's profile:



  • Education/experience:

  • A minimum of 5 years’ experience in a similar position will ensure that you have the necessary skills to succeed in your position.

  • Training as an assistant / receptionist is a real plus.

  • Languages:

  • Bilingual French / English (spoken and written) - Dutch is a plus.


Required skills/knowledge:



  • Good IT knowledge (MS Office, internet, Skype, badge management software...)

  • Easy use of telephony (Cisco Unified Call Manager).Good organizational skills

  • Ease of interaction with all stakeholders

  • Well-kept appearance
