Beschrijving

This department manages coordinating, planning, and directing services that support the running of the company like back office operations, telephone duties, processing of expenses, mail distribution and data management. The role has daily interactions with all other departments. The person in charge is the key in the day-to-day business of the General Affairs Section with very diversified tasks.

As Administrative Assistant you will be responsible for the following tasks:

  • Welcoming visitors
  • Maintaining record book of visitors
  • Handling incoming and outgoing mail (regular mail and courier service)
  • Statements administration (printing and sending out)
  • Being responsible for the stock of office supplies and stationery
  • Scheduling the Vault rotation duties, maintaining inventory of valuable documents in custody and reconciliating the vault contents with the record book of vault contents)
  • Updating record book of vendors agreements
  • Travel: coordinating of business trips; hotel bookings if necessary
  • Supporting expats with administration of real estate matters and/or other third parties
  • Making Follow-ups of the company's document storage & destruction inventory
  • Writing meeting minutes
  • Making expenses administration: entering expenses in Oracle Accounts Payables at staff level
  • Reconciliating of debit and credit entries
